The Opportunity
An exciting opportunity exists for a highly organised, proactive and professional Executive Assistant to join our Chief Executive Office.
Supporting the Chief Executive Officer (CEO) and Coordinator CEO Office, you will play a pivotal role in delivering high-level confidential executive support within a fast-paced and dynamic environment. This position is ideal for a motivated professional who thrives on managing competing priorities, building strong stakeholder relationships and contributing to the effective operation of the CEO Office.
You will work closely with Councillors, Executive Leadership Team members, Council staff and external stakeholders to coordinate executive communications, meetings, events, correspondence and key organisational priorities.
Key Responsibilities
- Provide high-level confidential executive assistance and administrative support to the CEO and Coordinator CEO Office.
- Manage complex diaries, meetings, travel arrangements and competing priorities with professionalism and discretion.
- Prepare, review and quality assure reports, briefings, presentations, correspondence and meeting documentation.
- Coordinate and monitor follow-up actions arising from Council, Executive Leadership Team and committee meetings.
- Support the planning and delivery of CEO Office meetings, events, forums and corporate functions.
- Liaise effectively with Councillors, government representatives, community stakeholders and internal departments.
- Maintain accurate records and information systems in line with legislative and governance requirements.
- Identify and escalate emerging issues, risks and priorities to support informed decision-making.
- Contribute to continuous improvement initiatives, systems and business processes within the CEO Office.
About You
To be successful in this role, you will bring:
- Demonstrated experience providing high-level executive assistance to senior executives within a complex environment.
- Exceptional organisational skills with the ability to manage multiple priorities and tight deadlines.
- Highly developed written and verbal communication skills with strong attention to detail.
- Advanced interpersonal skills with the ability to build productive relationships across a broad range of stakeholders.
- Strong judgement, initiative, discretion and problem-solving capability.
- Advanced computer literacy including Microsoft Office Suite and corporate systems.
- Experience within Local Government or the public sector will be highly regarded.
