Accounts Payable Officer and Finance Assistant

Are you an experienced accounts payable professional looking to contribute to a dynamic and supportive school environment? We are seeking a part-time Accounts Payable Officer & Finance Assistant (0.8 FTE) to join our dedicated Business Office team.

About the Role

Reporting to the Finance Manager, this role is responsible for the full accounts payable function, from invoice processing and payments to credit card reconciliations and maintaining accurate finance systems. You'll also assist with projects and provide broader financial and administrative support to the Finance Team.

Key Responsibilities

  • End-to-end accounts payable processing, including supplier liaison and query resolution.
  • Manage purchase orders and approvals through the Alii finance system.
  • Ensure invoices are correctly coded, approved, and compliant with GST and FBT requirements.
  • Prepare and process weekly payment runs (EFT, BPAY, international).
  • Reconcile supplier statements and company credit cards monthly.
  • Maintain accurate financial records and archives.
  • Manage EFTsure (creditor fraud prevention system) and verify supplier details securely.
  • Support financial reporting for programs such as music scholarships and professional development.
  • Provide assistance to the Finance Team and relief support where required.

About You

You are a highly organised, detail-oriented professional with a collaborative mindset. You thrive on maintaining accuracy in financial processes and enjoy working in a school setting where every role makes a difference.

Essential skills and experience:

  • Minimum 5 years' experience in a similar accounts payable role.
  • Strong understanding of accounts payable, GST, and FBT requirements.
  • Intermediate Excel skills and confidence with finance systems.
  • Excellent communication and relationship-building skills.
  • Proven ability to manage multiple tasks and meet deadlines.
  • Working With Children Check (or willingness to obtain).
  • Experience with Synergetic and prior exposure to an independent school environment desirable.
