The Opportunity
We're seeking a highly capable administrative professional who loves structure, accuracy and keeping things running smoothly behind the scenes. You'll be the person who ensures our pool installation projects stay on track by coordinating documentation, supporting approvals processes, and keeping our systems up to date.
You don't need prior experience managing council approvals , but if you've worked within a local government environment or handled compliance-style admin, that will be a significant advantage. What matters most is your high attention to detail, your ability to learn systems quickly, and your commitment to doing things properly.
What the Role Looks Like
In this office-based role, you'll prepare, lodge and maintain project documentation, coordinate with councils, certifiers, suppliers and clients, and keep all information organised across our platforms, including SharePoint, ZOHO, Xero and CRM systems. You'll also assist with drafting/town planning documents, prepare proposals and onboarding packs, and support our marketing activities with content updates and award submissions.
Every Friday, you'll contribute to our leadership meeting ensuring you're part of the heartbeat of the business.
This role is perfect for someone who is:
- Confident, polished and comfortable communicating with clients and external stakeholders
- Exceptionally organised, with strong attention to detail and the ability to follow processes
- Tech-savvy, quick to learn new systems, and ideally familiar with platforms like SharePoint, Xero or ZOHO
- Experienced in administration or customer service within a structured, process-driven environment
- Calm under pressure, independent, and able to manage multiple moving parts
- Looking for part-time work that can flex around school hours or other commitments
Experience with Adobe and document editing is valued, and approvals-specific experience is welcomed, but not essential.
