The City of Bunbury is seeking a professional and highly organised International Relations and Mayoral Events Officer to deliver of high-profile civic events and facilitate the City's international relationships.

About the Role

This role is responsible for coordinating and delivering a wide range of mayoral and ceremonial events, including official openings, civic receptions, award presentations, and internal celebrations such as staff recognition events. Working with the Office of the Mayor and various project leads, you'll ensure these events are well-planned, well-executed, and aligned with the City's protocols and values.

In addition, you'll provide vital administrative and logistical support to the City's International Relations Working Group, helping to maintain meaningful connections with our Sister and Friendship Cities—Setagaya (Japan), Jiaxing (China), and Nha Trang (Vietnam). This includes coordinating student delegations, supporting milestone celebrations, and ensuring accurate record-keeping and communication across stakeholders.

This is a people-focused and detail-driven role, ideal for someone who enjoys working behind the scenes to deliver polished and professional events that reflect civic pride and international goodwill.

Key Responsibilities

  • Coordinate the planning and delivery of civic and mayoral events, including receptions, openings, awards, and internal City celebrations.
  • Organise and support incoming and outgoing delegations, including student exchanges and official visits from Sister and Friendship Cities.
  • Work with project leads to support the delivery of major City of Bunbury initiatives and events in line with organisational policies and procedures.
  • Liaise with the Executive Assistant to the Mayor to coordinate logistics for official visits, delegations, and ceremonial functions.
  • Support the International Relations Working Group by preparing agendas and minutes, maintaining accurate records, and facilitating key exchange programs and activities.
  • Provide timely information to internal stakeholders to support mayoral briefings, speaking notes, and event scripts.
  • Ensure all events and activities are delivered on time, within budget, and in accordance with City policies and procedures.

About You

You are a highly organised and adaptable individual with a talent for managing details and building strong relationships. You're comfortable working in formal settings and understand the importance of protocol, discretion, and professionalism.

Desirable Criteria

  • Experience coordinating formal events or corporate functions, ideally within a government or public sector setting.
  • Strong administrative and committee support skills, including minute-taking and document preparation.
  • Ability to work effectively with elected members, executives, and external stakeholders, including international partners.
  • Excellent written and verbal communication skills.
  • Understanding of local government operations, including procurement and budget tracking.
  • Familiarity with international engagement and appreciation for cross-cultural relationships is an advantage.
